Insurance AMS Outsourcing Checklist: What to Fix Before You Hand Off

This checklist covers the AMS readiness preparation that independent P&C agencies need to complete before outsourcing back office operations. It is organized by task type — COI processing, renewal processing, and endorsement processing — and covers data, configuration, standards, and access. Use it as a pre-launch audit before going live with any managed back office service on your insurance agency management system.

Before outsourcing COI processing

Active policies with COI-eligible accounts have complete structured records: carrier, policy number, effective date, expiration date, and coverage lines in structured fields (not free-text notes). Certificate holder and additional insured records are in the AMS, not maintained in a separate spreadsheet or email thread. Certificate templates are current for all active carriers and have been reviewed by a licensed staff member. A COI request intake path is defined: dedicated inbox, AMS activity created on receipt, assigned to outsourced team, turnaround standard documented. Outsourced team access provisioned and tested on a sample COI workflow.

Before outsourcing renewal processing

All active policies have accurate expiration dates in the AMS expiration date field. Lapsed, cancelled, and non-renewed policies are archived or marked inactive — they do not appear on the active renewal queue. Renewal activity trigger is configured: activity created automatically 90 days before expiration for commercial, 60 days for personal lines. Activity assigned to outsourced team role at creation. Remarketing criteria documented: what triggers a remarketing submission vs a straight renewal. Carrier portal access confirmed as compliant for outsourced team. Escalation path documented: which renewal types route to a licensed agency staff member for decision.

Before outsourcing endorsement processing

Endorsement request intake path defined: how requests arrive, who logs them in the AMS, and what the activity type is. Endorsement activity template configured with submission deadline and carrier confirmation step. Policy records current for all accounts in the commercial book. AMS record update step confirmed as part of the workflow — every processed endorsement updates the policy record in the AMS before the activity is closed. Escalation path defined for endorsements requiring coverage decisions or licensed judgment.

AMS-wide prerequisites for all outsourced tasks

Notes standard documented and shared with all AMS users. Activity types consolidated to the set used by the outsourced workflows. Document naming convention established and applied to new uploads. Outsourced team user access provisioned with appropriate role permissions. Carrier portal access reviewed for compliance per each carrier’s terms of service. Escalation path documented for each task type. Contact information for agency-side point of contact confirmed with the outsourced team.

Frequently asked questions

What happens if we start outsourcing before completing this checklist?

The outsourcing relationship will work, but more slowly and with more owner involvement than anticipated. Incomplete items create exception handling that requires agency owner resolution. The first 30 to 60 days will be spent building what should have been built before go-live. Starting with one task type and completing the checklist for that type before adding others reduces this risk significantly.
